Booking & Deposits
What does my deposit cover?
Your deposit secures your spot on the trip and allows planning, reservations, and coordination to move forward. Deposits contribute toward accommodations, planning fees, and non-refundable vendor commitments.

Are deposits refundable?
No. Deposits are non-refundable.
However, if your spot is filled by another participant, I am happy to refund payments received to the extent that funds are recoverable. Refunds are not guaranteed and depend on replacement.

Can I transfer my spot to someone else?
Yes. Spot transfers are allowed with organizer approval. The new participant must complete all required forms and agree to all trip policies. Any fees charged by vendors for name changes or transfers are the responsibility of the original participant.

What if I can no longer attend?
If you choose to withdraw:
• Your deposit remains non-refundable
• Payments already made remain non-refundable unless your spot is filled
• You remain responsible for outstanding payments unless a replacement participant is secured

Passport & Travel Documentation Policy
Passport Responsibility
All participants are solely responsible for securing valid travel documentation.
Passports must:
• Be valid for the entire duration of the trip
• Meet destination-specific requirements, including minimum validity beyond the return date (often 6 months)
• Be in good physical condition (not damaged, expired, or altered)

Participants are responsible for:
• Confirming visa or entry requirements
• Completing applications accurately and on time
• Carrying printed and digital copies of all required documents
I am not responsible for denied boarding, denied entry, delays, or additional costs related to documentation issues.

If a participant is unable to travel due to:
• Missing or expired passport
• Incorrect documentation

No refunds will be issued, and I assume no liability for missed flights, accommodations, or activities.
